Covorent respects your privacy and is committed to protecting the personal data you share with us. This Privacy Policy explains what information we collect through this Website — in particular through the contact form — and how we use, store, and protect it. It is written in accordance with the EU General Data Protection Regulation (GDPR — Regulation 2016/679) and the German Federal Data Protection Act (Bundesdatenschutzgesetz — BDSG).

The contact email address is the primary channel for any data protection request. You can reach the controller at the email address above.

2. How the contact form works

The contact form on this Website does not submit your information to a server or database. When you click “Send message”, your email application opens with the details you entered pre-filled as a draft message. You then choose whether to actually send that email.

As a result:

  • No personal data is transmitted to Covorent until you send the email yourself.
  • Covorent only receives the information contained in the email you send.
  • Your email provider, and any other infrastructure involved in delivering the email, will process the message as part of normal email handling.

3. What information we receive

If you choose to send the email, Covorent receives the information you include, typically:

  • Full name — required in the form draft.
  • Work email address — required in the form draft.
  • Company name — optional.
  • Message content — optional, including any details you share about your call volume, workflows, or questions.

We do not knowingly receive information from children under 16. We do not ask you for special categories of personal data (such as health, racial or ethnic origin, religious beliefs, or biometric data). Please do not include such information in your message.

4. Why we use it (purposes and legal basis)

We use the information you send to:

  • Respond to your enquiry and provide the information you request about Covorent’s services.
  • Follow up on your interest in a potential engagement.
  • Keep an internal record of enquiries for organisational purposes.

We process enquiries to respond to requests and discuss potential business engagements. Where applicable, the legal basis is taking steps at your request before entering into a contract (GDPR Article 6(1)(b)) or our legitimate interests in responding to business enquiries (Article 6(1)(f)).

You may object to processing based on legitimate interests at any time by emailing hello@covorent.com. Objecting does not affect the lawfulness of processing carried out before the objection.

5. How long we keep it

Enquiry data is retained only as long as necessary to respond to your enquiry and for a reasonable follow-up period. Unless a contractual or legal obligation requires a longer retention period, we delete enquiry records once they are no longer needed for the purpose for which they were received. When data is no longer needed, we securely delete or anonymise it.

6. Recipients

Access to your data is limited to Covorent personnel who need it to respond to your enquiry. We do not sell, rent, or trade your personal data.

Your email provider, Covorent’s email provider, and any other infrastructure involved in delivering the email (for example, hosting or email-hosting services) may process the message as part of normal email delivery. Where such providers are based outside the European Economic Area, we rely on the safeguards those providers have in place, as required by GDPR Chapter V.

7. Your rights

Depending on the circumstances and applicable legal requirements, you may have the following rights under the GDPR:

  • Access the personal data we hold about you.
  • Rectify inaccurate or incomplete data.
  • Erase your data when it is no longer necessary or where processing is unlawful.
  • Restrict the processing of your data.
  • Object to processing based on legitimate interests, at any time.
  • Data portability — receive your data in a structured, commonly used format.
  • Lodge a complaint with the competent data protection supervisory authority in Germany, such as the Bundesbeauftragte für den Datenschutz und die Informationsfreiheit (BfDI) or the supervisory authority of the federal state in which you reside.

8. Security

We take reasonable measures to protect personal data in our care. The Website is served over an encrypted connection (HTTPS). Email is transmitted through the providers involved in delivery and is protected by whatever transport security those providers apply.

Email is not a fully secure channel. Please be mindful of this when sending sensitive information. No system is completely secure, and you should be aware of the inherent risks of transmitting information over the internet.

9. Cookies and analytics

This Website does not use advertising or analytics cookies. The only third-party resource loaded is the Inter font from Google Fonts, which is fetched when the page loads. If cookie use or third-party resources change in the future, we will update this policy and, where required, obtain your consent through a cookie banner before any non-essential cookies are set.

This Website may link to external sites. We are not responsible for the privacy practices or content of those sites. We encourage you to read the privacy policies of any external sites you visit.

11. Changes to this policy

We may update this Privacy Policy from time to time. The version published on this page, with its “Last updated” date, is the version in force. Material changes will be communicated on this page.
